Job Description

The Assistant of Catering is responsible for assisting the Director of Catering & Convention Services in directing, coordinating, training, and supervising the Catering Managers and support staff, as well as all other aspects of Catering Sales within the hotel. He/she is responsible for prospecting, negotiating, and contracting of new Catering Event business to achieve a monthly and annual sales goal. The Asst. Director of Catering will then supervise the planning and detailing of the event.  He/she will manage all aspects of the event and subsequent financial aspects of the program, while maintaining profitable operations and high-quality products and service levels. He/she is expected to market ideas to promote business; ensure contracts drive revenue and maintain profitability, meet monthly and annual sales goals, and ensure event details are coordinated in the best interest of the customer and hotel ownership.

Responsibilities

  • Prospecting business in the local Catering and Social Catering markets, including ethnic weddings. Handles all contract negotiations and is the main contact for these accounts to coordinate final arrangements for convention/meetings. Advises hotel department heads of special requirements of groups coming into the hotel.
  • Participates in planning, evaluating, organizing, and directing the activities of the Catering Sales Managers and Catering Service Department Administrative Staff.
  • Works with Director of Catering & Convention Services ensure that department personnel follow all policies, procedures, and guidelines.
  • Achieving monthly and annual sales goals
  • Provide event detailing services for all booked events, communication of function arrangements to all responsible hotel departments.
  • Creation of profitable menus and communication of client expectations to Food & Beverage Departments.
  • Coordinate Catering support services (including A/V, banquet setup, culinary) to provide complete client satisfaction.
  • Physically double-check all function arrangements against specifications of client. Correct where necessary.
  • Onsite management of booked groups.
  • Ability to effectively communicate client needs to all necessary parties.
  • Accurately forecast revenues for incoming groups.
  • Complete accurate billing paperwork and forward to accounting in a timely manner.
  • Maximize revenues for the hotel through up selling techniques.
  • Maintain positive ratings on guest satisfaction surveys.
  • Participates in the necessary training, motivation, and leadership for all department personnel.
  • Participates in the interview process for hiring all departmental personnel.
  • Recommends appropriate “in-house” and/or preferred vendors for group related services.
  • Ensures that all file turnover requirements (from Sales to Services) are fulfilled.
  • Attends and conducts Daily BEO Meeting.
  • Attends and conducts Weekly Resume Meeting

Qualifications

  • At least 5 years of progressive experience in a hotel or a related field; or a 2-year college degree and at least 3 years of related experience.
  • Experience in Ethnic Social Catering Markets preferred
  • Knowledge of F&B preparation techniques, health department rules and regulations, liquor laws and regulations highly preferred
  • Previous Experience as a Catering Sales or Conference Service Manager in a High Volume 4-Star Hotel highly preferred
  • Delphi, Salesforce FDC or Equivalent Training
  • Certified Meeting Planner (Optional)

     

    Physical Requirements:

     

    • Stand and Walk for Lengthy Periods of Time throughout 120,000+ sq. ft. of Meeting Space
    • Viewing the Computer Screen to complete Necessary Procedures
    • Be able to assist in all areas of the hotel
