Job Description

To organize, plan and oversee the execution of events, activities and programs resort-wide. This position will focus on growing revenue generation events Resort wide.   These responsibilities include but are not limited to: Family activities, year-round special events, theme weekends, seasonal festival and celebrations, resort sponsored promotions, après ski parties, downhill races and winter programs at the Alpine and Nordic ski areas, culinary events and holiday activities.  This position will be overseeing the Hotel and Ski Area Events Supervisors, as well as the Activities staff and the Kids programming while working closely with the Sales, Marketing, and all hotel departments to promote and implement all events and activities.

Responsibilities

        • Attend weekly events and activities meetings.
      • Provide accurate, up-to-date event information for the Bugle and Marketing.
      • Manage and maintain the event calendar in coordination with Marketing.
      • Maintain files, spec sheets, procurement documents, and all paperwork related to events and activities.
      • Coordinate and manage group activities, revenue-generating programs, and leisure/holiday/special events.
      • Leisure sales during off-peak season (golf and ski group)
      • Solicit day ski groups and collaborate with Ticketing and Sales Managers.
      • Oversee the complete ski group process, including:
        Prospecting new groups and maintaining past group relationships
        • Collecting group details and coordinating all pre-arrival setup
        • Meeting groups on-site for ticket distribution and support
        • Processing and collecting payments
      • Oversee the coordination of major events across the ski area, golf clubhouse, and membership programs.
      • Participate in the planning and execution of summer/winter events, theme weekends, social programs, and activity schedules.
      • Maintain communication with all departments (Sales, Banquets, Set-Up, Ski Operations, etc.) to ensure smooth scheduling and execution of groups and special events.
      • Work with the Executive Team, Marketing, and CS Manager on planning, marketing, and generating all required event documents (BEOs, spec sheets, agendas, check requests, lodging requests, etc.)
      • Evaluate each event and provide timely follow-up summaries to leadership.
      • Assist in developing and implementing innovative activities, programs, and corporate group offerings.
      • Coordinate lectures, artists, entertainment, performers, and contracted services.
      • Handle guest inquiries regarding events and activities.
      • Create and distribute promotional materials, signage, flyers, posters, and event mailings.
      • Maintain files, inventories of props, supplies, signage, and equipment used resort-wide.
      • Oversee and support all areas of the Activities Department as needed.
      • Lead and assist with year-round social activities (tournaments, games, crafts, sports, hikes, and recreational programs for all ages).
      • Oversee the Hotel Events Supervisor, including the Activity Concierge Desk and Kids programming.
      • Build and maintain relationships with outside vendors (Equestrian Program, Tennis Pro, AMC, Dog Sledding, etc.).
      • Contribute to team efforts and overall resort success

Qualifications

    • College Diploma, plus three (3) years relevant experience or an equivalent combination of training, experience, and/or education.
    • Event promotion/implementation and/or Marketing experience preferred.
    • Must have excellent interpersonal skills.
    • Must provide excellent service to internal and external customers.
    • Must have excellent oral and written communication skills and attention to detail.
    • Must have the ability to adapt to unexpected situations.
    • Must be punctual and reliable.
    • Must be able to remain calm and portray a friendly demeanor in stressful situations.
    • Must be willing to work weekends, holidays, and occasional evenings.
    • Must be able willing to work in unfavorable weather conditions.
    • Must be available to work flexible hours to include nights, weekends, and holidays
