    Job Description

    Ensure business opportunities are maximized through function space commitments when confirming space to group and local catering customers.       

    Responsibilities

    • Attend Business Review and assist DOSM, DORM and DOCS in reviewing future group opportunities ensuring space requests meet Hotel’s rooms / space policies.
    • Support a cumulative effort in the analysis, evaluation and recommendation of future bookings as it pertains to room block vs. function space.
    • Ensures space is blocked appropriately for both sales and catering groups and that no peaks or valleys exists, thus maximizing revenue opportunities at all times
    • Develop strategies and solutions with the sales manager and conference service team to identify previously signed definite group where space has been over committed and the Hotel has rooms to sell.  Develop mutual plan to capture space back from customer.   
    • Identify “need dates” where there’s a significant opportunity to secure additional group or local catering business should space be released by an existing group(s). 
    • Eliminate or minimize 24 hour all space holds over meal and breakout periods.
    • Supervised the execution of the file turnover process. Review and audit definite file turnovers to ensure space is blocked accordingly to contract.
    • Review and approve all definite group space addendums.
    • Perform weekly function space diary audits to identify conflicts and double bookings and to ensure that the adequate space is protected for each group's pattern.
    • Manage Delphi training and execution of departmental Delphi Standard Operating Procedures (GRC management, decision dates, 30 day cut-offs, booking activities, etc).
    • Assigns all incoming leads from G-Leads, GSO, CVB, Starcite, Cvent and any other booking engines.
    • Generates the 5-10-15 sales activity report on a weekly basis.
    • Generates pipelines and decision due date reports on a weekly basis.
    • Responsible for Delphi maintenance as it relates to merge documents, specific guestroom types, and meeting space. Ensures citywide bookings, special events and needs dates are highlighted in the GRC.
    • Enters group pickup on a daily basis.
    • Provides group histories to other properties and requests them on our behalf as needed.
    • Assists the DOSM/ DOS in creation of all reports in SQL server and Delphi and generates all reports in conjunction with EOM for sales and catering.
    • Print and cross checks the daily transaction report against space releases on file.
    • Participates in monthly MRC call.
    • G-Leads Property Champion: Participates in bi-monthly call. Champions the ongoing promotion of the program focusing on training new and existing associates. Ensures all reporting is fulfilled on a monthly basis. 
    • Creates and updates documents and spreadsheets for GM and DOSM, as needed.

    Qualifications

    • Previous hotel experience preferred
    • Basic Microsoft Office knowledge
    • Familiarity with Delphi strongly preferred
    • Good verbal/written communication skills.
    • Attention to detail and excellent organizational skills.
    • Maintain a professional business appearance, attitude, and performance.
    • Must be able to work a variety of shifts, including weekends and holidays.
    • Move, bend, lift, carry, push, pull, and place objects weighing up to 40 pounds without assistance. Stand, walk or sit for an extended period or for an entire work shift.  Requires repetitive motion, including utilizing telephone/computer for an extended period or for an entire shift.
